Overview

This position requires exercising the utmost in professionalism, discretion, judgment and courtesy to internal and external constituents and maintaining the highest level of confidentiality. The position is responsible for managing the office functions of the Research Informatics organization. The Office Manager is responsible for positive customer service to families and patients, internal and external resources, staff and guests to the department. This position efficiently manages office communications, supplies and processes to support departmental services offered to the research community. This position ensures high functioning office productivity and stellar customer service and professional administrative support to the Chief Research Information Officer, Directors of Research Informatics, the Management Team, and their team members.

Responsibilities

- Provide professional and administrative support of the Chief Research Information Officer (CRIO), Directors of Research Informatics, the Management Team, and their team members

- Manages and schedules multiple calendars, appointments, meeting logistics, travel, planning, attendee notifications and confirmations (verbal and non-verbal), technical needs and catering
- Prepares workspace for new employees or moves of existing employees and connectivity for phone, equipment/data, parking, supplies, office space, and other preparations
- Prepares correspondence:  Composes and/or edits reports, agendas, correspondence, letters, e-mails, memos, policies, and other project assignments from written, verbal or dictated material 
- Develops processes to streamline responses and interventions for improvement of department functions

- Maintains staff work schedules and manages timecard approvals

- Assists staff with travel plans, arrangements, and reimbursements

- Orders and maintain office supplies and equipment so that project can be completed on a timely basis

- Assists with budgeting and budget management

- Submit requisitions for purchase orders, and assists with procurements
- Troubleshoots invoice problems, questions, and discrepancies
- Ensures appearance of the areas of responsibility are neat, tidy, clean, orderly and maintained. Ensures minor maintenance issues are addressed in a proactive and timely manner.
- Serves as a resource for questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals or other staff

- Manages department resources such as email distribution lists, team lists, team meetings, common resources, office space, mailing/shipping, team metrics, etc.

- Performs team event planning and special event planning activities

- Proactively engages with staff with initiative and resourcefulness

- Supports and manages the Researcher Network cycles functions and processes

- Manages the weekly huddle board and ensures team information is shared

- Performs special projects as assigned
- Diligent to maintain a service excellence approach in all interactions and communications with customers (staff, patients, families, internal and external resources, and guests)
- Demonstrates the ability to manage time, prioritize work, and manage constructive use of unstructured time
- Seeks/attends CMH education programs and improvement of job knowledge

 

Skills:
- Intermediate to Advanced Skills in the use of Microsoft Word, Microsoft Excel, Microsoft Team, Microsoft Power Point and Visio

Qualifications

Bachelor's Degree and 3-5 years experience     

Associate's Degree  and  5-7 years experience  accepted in lieu of a Bachelor's degree

HS diploma or equivalent  and 7 or more years experience accepted in lieu of a degree

Starting Pay

Our pay ranges are market competitive. The pay range for this job begins at $24.31/hr, but your offer will be determined based on your education and experience.

 

 

Remote Work/Work from Home

This is an intermittent remote position, which means that the person hired will work with his or her manager to determine a schedule that includes both at home and on-site hours at a Children’s Mercy location. The incumbent must live in the Kansas City metro area.
